- Chipton-Ross is seeking an Administrative Assistant Level 2 for an opening in Fort Bragg, NC.
Performs a variety of duties related to civilian and military personnel management, record keeping, and finalizing actions regarding civilian and military duty status, performance awards, and evaluations. Performs a wide variety of office management and administration duties to ensure smooth and efficient operation of the office. Supports the Director and staff in all routine matters and coordinates the staff's schedule on matters pertaining to the management activities, organizational and functional structures, system management, and administrative management. Identifies calendar and scheduling conflicts and is responsible for immediate resolution of a variety of problems with recommendations for final decision. Provides key assistance to the staff by managing one-time, special, and recurring projects and programs. Plans, develops, and coordinates administrative and management functions and operations. Conducts and participates in management, administrative, automation, and functional studies. Responsible for managing the operational schedule and directs the administrative operations for the office. Develops and maintains the short and long-range calendars. Exercises when required, control over appointments; uses judgment, and forecasts potential requirements. Deals authoritatively with staff and the organization, as well as with higher headquarters in programming calendar functions. Utilizes modern office automation systems (hardware and software to include Microsoft Office) in the performance of assigned duties. Plans, develops, and coordinates administrative and management functions and operations. Uses word processing systems and other office systems to prepare letters, memorandums, and reports. Utilizes electronic mail and electronic calendaring systems, as well as various software packages to prepare reports and briefings, all forms of correspondence, messages, statistical reports, etc., in draft and final versions for public delivery and/or publication. Responsible for managing the operational schedule and directs the administrative operations of the Directorate under the direction of the Director. Forecasts potential requirements, conflicts, plan, and projects time for various requirements. Makes effective use of the Internet and other web-based technologies to perform information searches, research and analysis, and general fact finding. Assembles data, information, and knowledge sources for compilation, interpretation and presentation to support key issues under review by the Directorate. Serves as the focal point for the receipt and review of incoming tasks, projects, correspondence and other communications and materials. Assists the coordination of high-ranking visitors from both the military and civilian communities. Coordinates with the Command Group to schedule General Officer/ Flag Officer office calls, VTCs, and conference rooms. Determines nature of inquiries and utilizes thorough knowledge of the Command's mission to handle or refer the inquiry to the appropriate official or office. Develops daily read-a heads for the Director, schedules pre-briefs and answers specific questions pertaining to events and activities. Advises the staff on status of upcoming events. Discusses additional requirements or needs with the staff concerning visitors or their representatives. Composes routine and non-routine correspondence based on verbal guidance, personal knowledge, brief notes, or historical correspondence. Obtains information, document files and other material for use in phone calls, meetings, and speeches; utilizes a good knowledge of office activities and staff's programs to locate information or material on a basis of only general instructions. Coordinates and makes travel arrangements, to include scheduling, itinerary details, reservations, preparation of travel vouchers and pre and post trip reports and other related correspondence if requested. Researches, assembles, and edits/summarizes a wide variety of subject material pertinent to the Directorate and Command. Compiles data from files, correspondence, telephone, and personal contact for inclusion in reports. Checks available data to confirm accuracy. Analyzes and evaluates information and prepares and submits resultant reports and briefings. Executes administrative policy, determines and implements appropriate procedures. Makes an intensive review and analysis of all routine and non-routine material directed to the attention of the Director. Redirects staff actions as necessary. Accompanies Director to meetings, conferences, and other working sessions, if required. Analyzes internal office workflow and establishes procedures to improve effectiveness and efficiency of operations for better management of office assets. Establishes and monitors priority of all administrative actions. Prepares requests for procurement of supplies, equipment, maintenance, and repairs. Coordinates transportation and ensures vehicle services. Coordinates electrical and telephone actions. Serves as point of contact on reports and forms control, records management functions and various programs.
Previous Military Operation/DOD Administrative Experience Event Planning and Facilitation Relationship Building Experience
Accredited High School Diploma/GED
