Chipton-Ross is seeking an Administrative Assistant 3 for a contract opportunity in Hill AFB, Utah.
BASIC QUALIFICATIONS (REQUIRED SKILLS/EXPERIENCE):
o High School diploma or equivalent and a minimum of 4 years professional experience as an Administrative Assistant or performing administrative work.
o Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint).
o Ability to obtain and maintain a DoD Secret Security Clearance within a reasonable period of time as determined by the needs of the business.
POSITION RESPONSIBILITIES:
Looking for an Administrative Assistant 3 to support our Minuteman III Propulsions Systems Support Contract (PSSC) program.
Responsibilities:
o Performs reception duties at entrance to Hill AFB office; welcomes visitors, keeps visitor log sheet, maintains badging, etc.
o Initiator of all government access forms, maintaining standards to ensure forms are filled out properly and follow the government process.
o Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts.
o Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions.
o Make domestic travel arrangements and process expense reports in a timely manner for assigned staff.
o Attend staff meetings, publish agendas and follow-up on action items.
o Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering.
o Helps maintain program tasks in the Jira platform and digital files on Microsoft Teams.
o Provides secretary duties for our Configuration Control Board (CCB).
o Orders and maintains office supplies.
PREFERRED QUALIFICATIONS (DESIRED SKILLS/EXPERIENCE):
o Strong interpersonal, communication and organizational skills.
o Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities.
o Strong ability to multi-task with competing priorities in a positive manner.
o Experience in planning, coordinating and overseeing catering for corporate meetings.
o Strong proofreading and document preparation skills.
o Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through.
o Demonstrates outstanding verbal, interpersonal and written communication skills.
o Familiarity with policies and procedures.
REQUIRED EDUCATION:
High school diploma or equivalent/GED is required.
School must be accredited.
WORK HOURS:
9/80 work week. 1st shift. This position will be served on-site at Hill AFB, Utah.
ADDITIONAL:
Applicants responding to this position will be subject to a government security investigation and must meet eligibility requirements by currently possessing the ability to view classified government information.
Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
