Chipton Ross is seeking a Purchasing Assistant in King of Prussia, PA.

Job Title: Indirect Goods & Service Purchasing Assistant

Job Summary:
Provision of category sourcing, operational, and tools administration support to the indirect goods and services Strategic and Regional Procurement Managers.

Responsibilities:
o Strategic Sourcing: Support e-sourcing efforts of others by managing supplier registrations, preparation and uploading of bid documents, extracting bid documents, preparation of bid evaluation forms as appropriate, and handling of supplier communications.
o Supplier Relationship Management: Indirect preferred goods and services supplier management to include monitoring supplier performance, reporting, resolution of operational issues (e.g. invoicing), and monitoring of timing and receipt of supplier rebates due.
o Document Management: Management of departmental key documents, including administration of document management procedures, contract database management for indirect goods and services agreements.
o Travel Services: Manage day to day operations of travel program, including traveler profile creation and maintenance, agency booking tool audits and message management, and traveler complaints.
o General administrative support: Assist on an ad-hoc basis with various reports, and clerical tasks.
Supplier Relationship Management (25%)
o Work directly with suppliers to review/resolve invoice discrepancies.
o Develop and conduct customer satisfaction and other surveys
o Support the vendor qualification processes, including reporting, registration and qualification of vendors in the Jaggaer vendor database, , and reporting and user profile management in AVETTA application used for maintenance and construction contractors
o Performs activities to support risk management and protection of Arkema corporate reputation, in support of Arkema global sustainability and supplier code of conduct programs
Document Management (25%)
o Maintains appropriate level of administration around contracts and suppliers (e.g., contract database, equipment records and/or specification)
o Supports the storage of indirect goods and services contracts in accordance with Arkema Legal department procedures
o Supports the administration of the department SharePoint site, manage access rights, folder structure and content presentation format and document uploading
Travel Services (50%)
o Provides internal customer support and travel agency vendor management to support daily operations, including the creation and maintenance of traveler profiles in the booking tool, and resolving traveler and travel program issues
o Manages "custody of care" program with support by others to monitoring global travel events and evaluating Arkema traveler impact
o Provide travel program reports based on agency and travel & expense card data
Context and Environment:
This position is based in King of Prussia, PA.
No travel is anticipated for this position.
Supports the site HES policy and complies with all regulatory and internal requirements
Participates in HES activities provided by site management and Arkema Inc. (e.g., Behavioral Base Safety, SafeStart, etc.)
Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents

Requirements:
o Minimum of 1-3 years of administrative experience, preferably in a purchasing environment
o Experience in purchasing and/or travel program preferred
o Ability to work independently with minimum direction as well as a part of a team
o Strong interpersonal and problem solving skills
o Strong organization and multitasking skills
o Ability to support multiple individuals with different roles and management styles
o Advanced Microsoft Office suite experience
o SAP experience desired

Education:
o High School degree is required, BS or AS degree or completed coursework is strongly preferred

Schedule:
First shift, full time

Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
