- Chipton-Ross is seeking a Sr. Administrative Assistant for a contract opportunity in Bothell, WA.
RESPONSIBILITIES:
o Proactively manage communication (emails, phone calls, necessary follow-up); screen telephone or email inquiries, communicate messages, redirect calls and respond to urgent requests as needed.
o Greet and check in visitors, and process local office mail.
o Deposit all incoming checks.
o Scan and code invoices from the mail and send to AMGAP
o Assist with stocking office supplies, including masks and coffee supplies
o Enable complex global travel activities; prepare and coordinate complex and multi-stop travel, including accommodations, local transportation, passport/visa requirements.
o Proactively and on time compile, submit, and track expenses for the Directors and managers that report into Bothell. Proactively anticipate potential travel issues and respond accordingly.
o Assist Project Managers with various office change projects including build out, interior design changes, cubicles, etc.
o Order new badges including taking photos for new hires and for employees needing replacements.
o Manage temporary badges for employees and guests
o New hire onboarding
o Catering for meetings as needed and requested.
o Work and build relationships with vendors that come onsite for various purposes including property management and facilities support.
o Create and post weekly slides for the Bothell site with company announcements and events.
REQUIRED EXPERIENCE:
o 4+ years of administrative experience, preferably in a fast paced environment.
o High school diploma
o Proven to be trusted to handle confidential and sensitive information with the ability to exercise discretion and show good judgment.
o Demonstrated experience in working to independently identify, analyze, and solve problems with creative and successful solutions.
o Previous success at building strong organizational relationships and in fostering teamwork.
o Exceptional written and verbal communication skills.
o Professional, authentic, approachable, and diplomatic in nature. Proven ability to interact successfully with varying levels in and outside the organization in a demeanor that is representative of the leadership team.
o Demonstrated expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and willingness and ability to learn company-specific software or system tools.
EDUCATION:
Accredited High School Diploma/GED
WORK HOURS:
Full-Time
8-5 PM Monday - Friday (Can be flexible, ex: 7:30 to 4:30)
Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
