Chipton-Ross is seeking an Administrative Assistant for a contract opportunity in Grand Rapids, MI.

The role is expected to support on-site administrative duties.

HR Related Administrative Duties - 25%
O Facilitate management of time clock system for payroll
O Create new employee personnel files and ensure new hire paperwork completion
O Track the site recognition program and ensure recognition cards are ordered
O Learning Management System Training representative
O Provide Training report updates

HSE Related Administrative Duties-50%
O Support Electronic Document Management system coordinator efforts for improving the system by providing feedback on functionality
O Assist in data entry for sites such as Health and Safety data and tracking systems
O Assist with development of Job Safety analysis creation/review
O Enter data for Safety observations, Safety Data Sheets (SDS), Near misses, etc…
O Order logistics/production supplies in SAP and Office supplies from determined vendors
O Process logistics/utility invoices (FedEx, labels, etc.)
O Facilitate uniform and safety protective gear orders for current and new hires including uniforms, safety glasses, shoe vouchers and eye glasses

Site Level Administration Duties-25%
O Control site gate entry access for visitors, contractors, drivers
O Support electronic document management systems (EDMS) by scanning equipment files/inspection documents into the system.
O Update bulletin boards and employee information monitors throughout the site
O Coordinate the hosting of site events, meals, celebrations, etc.
O Coordinate employee engagement events for Wellness and assist in coordination of Family Day
O Update bulletin boards and employee information monitors throughout the site
O Assist with coordination of community outreach events
O Coordinate cleaning activity of site administration areas.
Other duties as assigned-5%

- Strong communication skills (written and verbal). Ability to work with limited supervision.
- Expertise in Microsoft Office and other PC applications. SAP experience desired.
- Ability to work with others internally and externally with professionalism.
- Excellent organizational skills.
- Solid communication and organization skills required.
- Must have the ability to work independently and focus on detail.
- Must be able to maintain confidentiality.
- Must have the ability to prioritize and organize daily work schedule.

Accredited High School Diploma or equivalent required

First Shift, Full Time

Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
