Job #220014Chipton-Ross is seeking an HR Coordinator III for a contract opportunity in Buena Park, CA.
BASIC QUALIFICATIONS (REQUIRED SKILLS/EXPERIENCE)
3-5 years of progressively responsible Human Resources experience.
Experience in a manufacturing, aerospace, defense, or similarly regulated environment.
Proficiency with Microsoft Outlook, Word, Excel, and other business applications
Working knowledge of Human Resources practices and employment-related processes.
Experience with HRIS/payroll systems; Paycom experience preferred.
Experience with applicant tracking systems; Greenhouse experience is a plus.
Strong organizational and time-management skills.
Strong attention to detail and commitment to maintaining accurate records.
Strong written and verbal communication skills.
Demonstrated discretion when handling confidential and sensitive information.
Ability to recognize when an issue should be escalated to HR management.
Bilingual in English and Spanish required.
POSITION RESPONSIBILITIES
HR Administration & Employee Support
Serve as a primary point of contact for employees regarding routine HR questions, policies, benefits, payroll, timekeeping, and HR processes.
Maintain accurate and complete employee records and personnel documentation.
Process employee changes including new hires, transfers, promotions, compensation changes, status changes, and terminations.
Prepare employee letters, forms, reports, and other HR documentation.
Maintain confidentiality of employee information and sensitive HR matters.
Support HR leadership with special projects, audits, reporting, and department initiatives.
HRIS, Payroll & Timekeeping Support
Maintain employee information and transactions within the company HRIS.
Review HRIS information for accuracy and identify missing or incorrect data.
Assist with payroll preparation and review, including timecard follow-up, employee changes, deductions, and payroll-related questions.
Work with managers and employees to resolve routine timekeeping and payroll discrepancies.
Assist with regular HRIS audits and data cleanup.
Prepare recurring and ad hoc employee reports as requested.
Recruiting & Onboarding
Coordinate recruiting activities, including interview scheduling, candidate communication, assessments, background checks, drug screens, and pre-employment requirements.
Assist with job postings and applicant tracking system administration.
Prepare offer-related documentation and coordinate pre-employment activities.
Coordinate new-hire onboarding and orientation.
Ensure new-hire documentation is complete and accurately entered into HR systems.
Complete and maintain Form I-9 documentation and other employment eligibility records in accordance with company requirements.
Support temporary staffing activities, including coordination with staffing agencies and temporary employee records.
Benefits Administration
Assist employees with benefit enrollment questions, qualifying life events, and general benefit inquiries.
Process benefit enrollment and employee status changes.
Coordinate benefit-related documentation with employees and benefit providers.
Assist with annual open enrollment activities.
Review benefit records for accuracy and follow up on discrepancies.
Escalate complex benefit, leave, or eligibility questions to HR leadership or appropriate vendors.
Training & Compliance Support
Coordinate employee training records and required training documentation.
Track completion of required company and regulatory training.
Assist with HR audits, personnel file reviews, I-9 audits, and other compliance activities.
Support maintenance of required employment documentation and record-retention practices.
Assist with company policy acknowledgments and employee communications.
Support HR leadership with workplace investigations by coordinating documentation, scheduling, and records as requested.
Employee Relations Support
Provide employees and managers with guidance on routine HR policies and procedures.
Help identify employee concerns requiring HR attention and promptly escalate sensitive or complex matters to HR leadership.
Assist with documentation associated with coaching, attendance, performance management, and other employee matters.
Maintain professionalism, neutrality, confidentiality, and appropriate documentation when handling employee concerns.
PREFERRED QUALIFICATIONS (DESIRED SKILLS/EXPERIENCE)
Associate degree or coursework in Human Resources, Business Administration, or a related field preferred.
Experience supporting payroll and timekeeping in a manufacturing environment.
Experience administering employee benefits.
Experience coordinating recruiting and onboarding activities.
Familiarity with California employment practices and recordkeeping requirements.
Experience with temporary staffing agencies and contingent workforce administration.
Familiarity with I-9 and employment eligibility documentation.
Experience supporting an aerospace, defense, ITAR-regulated, ISO-certified, or similar environment.
